Replacement Guidelines

Computer Replacement Guidelines

The purpose of the replacement cycle is to ensure that eligible faculty and staff have a reliable computer to use for teaching, research and administration. The current hardware replacement cycle is aproximately 4 years. When a system reaches end of life, it will become eligible for upgrade through the Replacement Fund.

Replacement Process

When an individual has one system (i.e. desktop or laptop) that is at end of life:

  • The old system is removed, and the data is copied over to the new system.
  • The new system is delivered to the office and installed by a technician.
  • The old system reformatted, and then recycled.
NOTE:
  • If an individual has multiple systems (i.e. desktop and laptop) that are at end of life, the Replacement Fund will only cover the cost of one (1) system. The cost of replacing any additional system(s) is the financial responsibility of the department. Faculty with multiple computers at the time of upgrade will be consolidated to one laptop for simplicity and flexibility for use on or off campus.
  • Printers and Monitors are not covered under the Replacement Fund, and are the financial responsibility of the department.
  • The Microsoft Surface models are not eligible for replacement.
  • When an individual is no longer affiliated with university, it is the responsibility of the department to ensure the return of ALL assigned University-Owned equipment, and to notify the IT Help Desk to update equipment records.
